eWeb Shop For Organization Feature Updates

The Winter 2025 Release (35) has introduced updates to the existing Shop For Organization functionality, with an emphasis on improving user experience and enhancing the flexibility of configuration management for this feature.

This enhancement also reflects alterations in the feature's functional approach, enhanced to make configuration easier and to remove multiple dependencies on one specific system option (as was the case with the existing TradeOrganizationFlag system option).

Current Functionality:

The main objective of this enhancement is to deprecate the existing TradeOrganizationFlag system option and distribute all the functionality covered through this system option into distinct system options and configurations to improve the usability of the complete eWeb Shop for Organization functionality.

The TradeOrganizationFlag system option has being deprecated and replaced by following system options and configurations.

The Winter 2025 Release (35) includes three new system options:

Relationship Type Configurations: The Individual-Organization Relationship Type function (CRM > Overview > Customer setup > Relationship > Relationship type > Add/Edit any relationship type: Select Relationship type: Individual/Organization) has been updated into three separate configuration options under the eWeb section to allow flexibility for to the users while assigning privileges to the members of the organization. Prior to Winter 2025 Release (35), The Add/Edit Relationship Type form had two flags under the eWeb section – Organization Area Access Flag and Organization Area Access Edit Flag. The logic of these two flags have been updated slightly (described below) and a new flag ‘Shop for Organization’ has been included.

  • Organization Access checkbox grants:
    • Ability to view My Organizations details
    • Ability to view Organization Roster details (but not edit)
  • Organization Edit checkbox grants:
    • Ability to Edit Organization Roster details
    • Ability to Edit Organization address
  • Shop For Organization checkbox grants:
    • Ability to view organization transactions and add them to a cart for payment
    • Ability to select who you are shopping as / who your bill to is
    • Ability to shop on behalf of the Organization

Note: The Organization Edit and Shop For Organization checkboxes are only available for selection when the Organization Access is checked and the Relationship Type = Individual/Organization on the Relationship Type page.

In addition to these updates, the Winter 2025 Release (35) includes some improvements to the functionality surrounding shopping for your organization to make it more intuitive for customers who have that access.

The Welcome note message (available in the header section on the eWeb) now includes additional information on ‘shop as - bill to’ with a link to redirect eWeb users to the Change Customer page (for logged in users only).

The information displayed will be based on the currently defined "shop as" and "bill to" customers.

If your NetForum system has the TradeOrganizationFlag = true when it is updated to release 35 (or later), then:

  • DefaultEWebBillingCustomertoOrganization will be set to True
  • EnableEmailDomainMatchingOnEweb will be set to True
  • Relationship types (with the Organization Area Access Edit flag set) will have the Shop for Organization flag checked

For customers not using the existing TradeOrganizationFlag system option, these two system options (DefaultEWebBillingCustomertoOrganization and EnableEmailDomainMatchingOnEweb) will remain disabled when upgrading the Winter 2025 Release (35).

Prior to Winter 2025 Release (35):

The TradeOrganizationFlag system option handled the following behaviours on eWeb:

  • The TradeOrganizationFlag system option allowed selected individuals to make purchases on behalf of their organization and pay organization invoices. The centralized shopping cart in eWeb and xWeb sets the billing customer to the individual's primary organization.
  • This system option also defaulted the "bill to customer" for all purchases to the primary organization of the logged in individual. 
  • The TradeOrganizationFlag system option enabled Email domain matching on eWeb (The New Visitor Registration process in eWeb enables matching Email domain functionality), allowing new registrants on eWeb to be related to an existing organization based on the domain of the Email they use to create their account.

The existing Add/Edit Relationship Type form had Organization Area Access Flag and Organization Area Access Edit Flag to support the Shop for Organization functionality.

The Organization Area Access Edit Flag allowed Individuals to perform the following tasks on eWeb for their related organizations when the TradeOrganizationFlag is enabled:

  • Edit Organization information on eWeb
  • Manage Organization Roster on eWeb
  • View/Pay Organization invoices on eWeb
  • Shop on behalf of the Organization on eWeb
  • Shop on their own behalf and bill the invoice to the Organization on eWeb

The My Cart section on the Online Store page on eWeb, contained the Shopping for link that redirects eWeb users to the Change Customer page to set up the shop as and bill to options. The Shopping for link on the My Cart has been removed and move to the eWeb header section.
