Schedule Sessions Icon
Quickly schedule sessions that have been added to an event. Use the schedule sessions icon to schedule event sessions with minimal information that were added using the Add Quick Sessions functionality.
This topic covers all the steps required to schedule a session using the schedule sessions icon on the Event Profile.
Note: Your Event Must have a Start Date in order for this icon to appear on the Actions Bar. If you did not enter a Start Date when you created the Event, you can use the Edit button on the Event Profile page to add the information.
Scheduling Sessions
- Setup rooms for your event.
- Add an organization
- Add a location
- add rooms to the location
- add rooms to the session
- Go to the Event Profile and click the Schedule Sessions icon on the Actions Bar.
- Ensure that the correct time-length for each day has been set-up. If not, modify start and end time in Event set-up.
- Select the day you want to schedule in the Day drop-down.
- Select the session you want to schedule in the Session drop-down. It will appear in the upper left corner.
- Click and drag the session to the desired room and time of day. You can move it anywhere you wish within that day.
Because the session scheduler allows you to schedule only one day at a time, multi-day sessions cannot be scheduled from this feature. However, multi-day sessions that have been scheduled elsewhere and assigned a room will automatically appear in the session scheduler. To prevent scheduling conflicts, multi-day sessions that appear in the session scheduler cannot be moved by dragging and dropping, and you cannot drag and drop additional sessions into the multi-day session's space.
Please note that a multi-day session must be assigned to a room for it to appear in the scheduler. Sessions can be assigned to rooms from the Event Profile, under the sessions child form.
- The session durations are defaulted to 15-minutes each. You can adjust (or decrease) the session time lengths by clicking the increase session duration or decrease session duration arrows.
- Once the session is in place, you may decide to add more details to it. Such as an official name if you just have a placeholder, for example. You may do so by clicking the Edit
button.
- Clicking the Edit button brings up the Edit Session Information window which enables you to add more detailed information about your session, if necessary. If you need to remove your session from the schedule, you may also click the red X button to do so as well. Note that this does NOT delete the session entirely but simply removes it from the schedule.
- Continue adding sessions to the schedule as needed until your schedule looks similar to the screenshot below.
- When you are finished scheduling and editing your sessions, click the Save button to save and schedule your sessions. You will notice that your sessions child form has been updated with your new dates and times.
