Overview
Substitute Registrant: Substituting an individual for another individual for the SAME Event.
Examples of Substitutions: last minute replacement at a golf event, tour, meal, or workshop, substituting another individual from the same company for the same session the day before the event, etc.
Substitute registrants usually affect production and preparation especially close to an event date. Consequently, Substitution Fees can be charged to cover costs related to these changes. The primary Price Attribute for adding a Substitution Fee is Date.
Note that other than substitution fee(s), if any, there are no accounting transactions or adjustments when doing a substitution. For example, if you substitute a non-member (who would ordinarily pay $400) for a member (who had paid $300 for the same type of registration), this feature will not declare that the new registrant owes $100. Conversely, if you substitute a member for a non-member who paid more, this process will not create a credit for the difference.
Transfer vs. Substitution
- Transfer Fee = one person (or group) moving their registration from one event to another (or moving their fee within the same event).
- Substitution Fee = person for a person to the same event.
(Both could require adjustment of accounting information)
Usage
NetForum does not verify that the new registrant is eligible for the same fees as the existing registrant. Therefore, if you need to perform this functionality, you must cancel the first registrant, create a credit, then register the new registrant with new fees, and pay the registration fees from the credit.
To Substitute a Registrant:
1. Go to the Events Registrant Profile of the individual you are substituting out of the event.
2. On the Registrant profile, click the Registrant Actions profile menu and click the Registrant substitute link. This will display the Events Registrant Substitution form. The Individual's registrant information will display in the Substitute and Badge sections.
3. Highlight the name of the registrant in the name field and press delete.
4. Enter the name (or use the Look-Up Button) of the Individual you are substituting into the event. That Individual's data will now populate the Substitute and Badge sections.
5. If there are any Substitution Fees relating to the new registration, select the appropriate fee in the Substitution Fees section.
6. Click total (only if you selected a Substitution Fee). The amount of the transaction will display.
7. Enter the appropriate Payment Information.
8. Click Save.
