Overview
The purpose of this article is to cover Mailing Label. Each country has its own mailing label format which is a key thing to note if you ever run into a problem with a mailing labels format. This article will give you points on how to check this and even to add a unique mailing label that is used for specific reasons. You must have admin account to edit the mailing label format.
Important: The mailing label format associated with an Individual’s address could contain organization fields such as {org_name}. In this case, the {org} values come from the individual’s primary affiliated organization. Accordingly, when updating an organization, netFORUM finds and updates any affected mailing labels of related individuals.
How to find the Mailing Label for a Country
In order to edit a mailing label for a country you will first have to find it. To do this go to Admin and select from the drop-down Mailing Label Format. If looking for all countries select List. If looking for a specific one select Find. To add another mailing label to a country select Add.
Once you have pulled up a list of records select the country you want. If you use find you will either get a list or go to a specific country.
Edit the Record
When you click on a record you will be brought to the edit form for this record. Here you can change around the format by deciding what fields you will bring up. For example, if you want to list an individual’s name you would insert {ind_first_name} into the mailing label format.
Add the Record
Here you can add an additional mailing label to the country. For example, if you want a different mailing label for an organization you would create it here. In the customer drop down you would first select an organization.
Update Records
In order for the changes to be applied you will need to run the mailing label update. To do this, you will want to go to Admin-> Mailing Label Update->Run. Note you may want to run this after hours depending on the number of records you are updating.
Once there, you can either select all records whose mailing label is empty or by checking the ’Include non-empty address labels’ you can update already existing mailing labels if the format has changed.
Click on Count Individuals or Count Organizations to get a count of the number of records you will be updating.
You can then click on the ’Update Individual Records Now!’ or ’Update Organization Records Now!’ to update these records. Note that the Individual one will update Individuals and the Organization one will update Organizations.
Once clicked, a progress bar will appear, keeping track of the progress of the update.
A note will then be made of when the process started and ended.
