Using the NetForum Outlook Add-In
In order to start using the integrated system, you must complete the configuration of Add-In to the outlook. You will be able to perform the below function after the successful completion of the Add-In configuration.
Login Screen
For Old Outlook
Perform below steps in your Outlook to login into the NetForum Add-In:
1. Click the NetForum Add-In on the Home or Message ribbon on your Outlook.
2. When the login screen is displayed, enter your iWeb credentials. As per recommendations from Microsoft, we do not store the password to your NetForum account. So, you will have to log in when you click NetForum add-in button.
You can use a password keeper like Google or Bitwarden to store your login credentials to facilitate logging in.
Note: If you get an Invalid Login error, check first to see if these credentials work on the iWeb site on the same host. (If you are working remotely, it could be something like your VPN is down.) If the login works in iWeb, but not here then there is something is wrong in the Add-In configuration.
3. Once logged in, you will see the NetFORUM Add-In screen associated with the selected function (Add Recipients or Log Email).
For New Outlook
Perform below steps in your Outlook to login into the NetForum Add-In:
1. While reading a message On the Outlook screen, select a message in the Reading Pane or open a message in a separate window.
2. From the action bar of the message, select Apps.
3. Select the NetForum Add-In.
This will display a NetForum Login pop-up on the right side of the Outlook screen.
4. On the NetForum login pop-up, enter your iWeb credentials. As per recommendations from Microsoft, we do not store the password to your NetForum account. So, you will have to log in when you click NetForum add-in button.
You can use a password keeper like Google or Bitwarden to store your login credentials to facilitate logging in.
Add Recipients
Invoking Add Recipients in Desktop Outlook
In Old Outlook
1. When you compose an email, you will see the new Add Recipients – NetFORUM button in the ribbon in Old Outlook. (The exact location relative to the other buttons may differ from what is shown in the screen shot.)
2. The icon on the button will be the CommunityBrandstree or a blue geometric logo.
In New Outlook
When you compose an email, you will see the Apps button in the ribbon. Click the Apps button.
From the Apps menu, select NetForum add-in.
Invoking Add Recipients in Web Outlook
1. When composing an email in Web Outlook, look for and click the ... button at the bottom of the message (on the same line as the Send button).
2. The resulting pop-up menu will include a NetFORUM item with tooltip text Search and add recipients from NetFORUM.
Using the Add Recipients Function
1. After invoking the Add Recipients function, you will see the NetFORUM Search screen as shown below.
2. Enter a portion of the name of the individual, organization, committee, or mailing list you are searching for in the Search Individuals, Organizations, Committees, and Mailing Lists by Name field.
Alternatively. you can use the Advance Search option to search any record by their First Name or Last Name, Organization, Email, and Committee/Mailing List. Click Advance Search drop-down tab and enter the name in the desired field.
3. Click the Search button. NetForum will search for matching customers/mailing lists/committees; it always does all three search types
4. The results are displayed on three tabs. Click each tab to see if any results were found.
Important! If the NetForum contact does not have an email address specified, they will not be returned in any search.
Customers Results
1. The matching customers results display on the CUSTOMERS tab. Set the Add To: drop-down to specify whether you want to add a To: / CC: / or BCC: and click desired records that you want added as a recipient.
Mailing List and Committee Results
1. On the Mailing Lists or Committees tab, click the Mailing List or Committee that you want to see the members of. One more list will appear below displaying the members of the selected Mailing List or Committee.
2. Click the relevant records of that member list to add them as recipients.
Results Page Control
At the bottom of the results list (on the selected tab), is a control to navigate multipage results. Each page displays 5 entries. Click the current page number to select another page (as shown in the screen shot below).
Logging an Email from Outlook to NetForum
Invoking Log Email in Desktop Outlook
1. If you open an existing email, you will see a Log Email – NetFORUM button in the ribbon. (The exact location relative to the other buttons may differ from what is shown in the screenshot.)
2. The icon on the button will be the CommunityBrands tree or generic logo. (Note in the screenshot below, it is a generic icon.)
Invoking Log Email in Web Outlook
1. When you open an email in Web Outlook, find and click the More actions button at the top right of the message.
2. In the resulting pop-up menu, you will see a NetFORUM item.
3. If you hover over the NetFORUM item, the tooltip will be Create a correspondence record in NetFORUM.
Using the Log Email Function
1. After invoking the Log Email function, NetForum will search for any customers whose email address matches this email’s sender.
2. If no NetForum records were found with the sender’s email address, you will see the below error:
3. If the sender’s email address is found in the NetForum database, you will be presented with all custom records having this email address (there could be multiple).
4. Select the Logged? check box on the Card of the customer you want to log the email under. The email can only be logged under one customer.
5. When the email is logged, you will see a Success message.
6. Open the customer’s profile record in NetForum, and you will find this message in Communications child form on the Correspondence tab.
