Invoice Profile

The Invoice Profile displays details about a purchase that was made in NetForum. Several actions can be performed from the Invoice Profile such as adding a payment and voiding the invoice.

Action Items Menu

The Action Items Menu provides an easy means to perform some of the more common tasks on an Invoice.

Actions Bar

The Actions Bar provides an easy means to perform some of the more common tasks on an Invoice. These tasks are detailed below in the Managing Invoices section of this page.

Invoice Profile Tabs

The tabs on the Invoice Profile contain several child forms that control and manage the data associated with the Invoice.

Several icons may be available on child forms throughout NetForum that perform various actions when clicked. They are:

expand/close icon to expand or close a child form.
goto record icon to view that record's profile page.
add icon to add a new record to the child form.
edit icon to edit a record on the child form.
delete icon to delete a record on the child form.
grandchild form icon to expand or close a grandchild form.
  new window icon to open a child form in a new window.
  more info icon to see more information about the a record on the child form.
  linked headings to sort the records.
  refresh the data in the form.
  export the data to a quick report for download.

 

Invoice Profile Child Forms

Below is a listing of the tabs on the Invoice Profile and the child forms contained within each. Next to each child form is a listing of the columns contained on that child form.

Details

The Details tab contains the following child forms:

summary- Invoice number, Invoice Date, Tracking Number, Invoice Total, Paid, Due

line items - Proforma (yes or no), Product, Code, Price, Quantity, Notes.

discounts - Product, Discount Amount.

tax - Product, Tax Amount.

shipping - Product, Shipping Amount, Shipping Notes

gl accounts - Debit/Credit, GL Account, Amount.

adjusted/voided line items - Product, Quantity, Price, Adjusted, Adjustment Batch, Voided.

Payments

The Payments tab contains the following child forms:

payments - Product, Pmt Trx, Type, Pmt. Method, Batch, Pay Date, Pmt. Amount, Pmt. Total, Check Num.

writeoffs - Product, Batch, Date, Writeoff Amount.

voided/adjusted payments - Product, Pmt. Tax, Type, Pmt. Method, Batch, Pay Date, Pmt. Amount, Pmt. Total, Check Num.

Fulfillment

The Fulfillment tab contains the following child forms:

fulfillment - Shipping Date, Qty, Product, Fulfillment Code, Address.

claims - Claim Code, Invoice, Product, Claim Qty, Claim Date, Status.

issues fulfilled - Issue Name, Quantity, Ship Date, Address.

Subscription Terms

The Subscription Terms tab contains the following child form:

subscription terms - Invoice Number, Start Date, End Date.

Return/Cancel

The Return/Cancel tab contains the following child forms:

returns - Product, Batch, Date, Return Amount.

credit - Code, Typer, Amount, Batch.

misc. transactions - Product, Account, Amount, CR/DR.

Log

The Log tab contains the following child forms:

adjusted/voided line items - Product, Quantity, Price, Adjusted, Adjustment Batch, Voided.

audit trail - Field, New Value, Previous Value, Changed By, Change Date.

Navigating to the Invoice Profile

Use one of the following ways to navigate to the Invoice Profile.

From the Accounting Module>Accounting Overview page:

  1. Click the Invoices hyperlink (or icon.)

    The Find - Invoices page displays.

  2. Follow the steps as you normally would when searching for any object in NetForum.

From the left navigation menu:

  1. Expand the Invoices group item.
  2. Click the List Invoices or Find Invoices action items.

    Clicking the List Invoices action item will display a listpage of all Invoices.

  3. Clicking the Find Invoices action item will open the Find - Invoices page and allow you to specify the criteria for the specific Invoice(s) that you are looking for.
  4. Follow the steps as you normally would when searching for any object in NetForum.
  5. For both methods, click the record or the goto arrow to the left of the record that you wish to view on the List page displaying the invoices.

Note: Since orders are related to individuals or organizations that are already in your database, you will typically navigate to an Invoice Profile from an Individual Profile, Organization Profile, Registrant Profile or other Module within NetForum. For example, Membership, Awards, in the left Profile Information Panel of the Subscriber Profile, Batch, the invoice line items child form on the Payment Profile, etc.
