Add Session Quick Form
Add a session to an event using the Add Session Quick Form when you have the general ledger information to track the session fee.
To add a Session using the Add Session Quick Form, use the following steps:
- Go to . The Add - Events Session page opens.
- Use the descriptions in the tables below to enter information. Each table covers a section of the Add Session Quick Form.
Session Information
Field Name Required? Description event Required Select the event you want to add the session to. session code Required Enter a brief session code to help track the session in the database. session type Required Select the session type from the drop-down list. session name Required Enter the full name of the session. session start date Optional Click on the calendar icon and select the session start date OR enter the session start date in DD/MM/YY format. end date Optional Click on the calendar icon and select the session start date OR enter the session start date in DD/MM/YY format. session start time Optional Enter the time the session is scheduled to start. end time Optional Enter the time the session is scheduled to end. capacity Optional Enter the registrant capacity of the session. maximum sponsors Optional Enter the maximum number of sponsors allowed for the session. est attendance Optional Enter the estimated attendance for the event. guaranteed attendance Optional Enter the guaranteed attendance for the event. registrant goal Optional Enter the goal for number of registrants for the session. revenue goal Optional Enter the revenue goal for the session. ceu type Optional Select the CEU type from the drop-down list. ceu# Optional If the session is part of a course, enter the number of CEU credits available to course participants. Cut Off Dates & Web Information Optional For each item in this section, either click on the calendar icon and select the session start date OR enter the session start date in DD/MM/YY format. course Optional Select the course from the drop-down list. fundraising product Optional Use the drop-down list to select the Fundassociated with the session. Session Registration Options
Field Name Required? Description wait list Optional Check this box if the session will have a wait list once registrant capacity is reached. When this box is checked, the auto register wait list checkbox is displayed. auto register wait list Optional Check this box if registrants on the wait list will be automatically added in the event of a cancellation. This checkbox is only displayed when the wait list checkbox is selected. ticketed Optional Check this box if the session will be ticketed. main event registration required Optional Check this box if registration for the Event associated with the session is required in order to attend the session. free session? Optional Check this box if the session is free. free guest? Optional Check this box if each session registrant may bring a guest for free. G/L Information
Field Name Required? Description fee Required Enter the amount of the registration fee for the session. split revenue Optional Check this box if revenue from the session is to be split with another entity. business unit Required Select a business unit from the drop-down list. project Optional Select a project from the drop-down list. a/r account Required Select an a/r account from the drop-down list. revenue account Required Select a revenue account from the drop-down list. liability account Required Select a liability account from the drop-down list. return account Required Select a return account from the drop-down list. write off account Required Select a write off account from the drop-down list. deferred Optional Check the box if there will be deferred revenue associated with the session. When this box is checked, the recognize after field is displayed. recognize after Click on the calendar icon and select the OR enter in DD/MM/YY format the date after which the deferred revenue will be recognized. This checkbox is only displayed when the deferred checkbox is selected. Fee Attributes

Description registration type Optional Select a registration type from the drop-down list. member Optional Select a membership status from the drop-down list. member type Optional Select a member type from the drop-down list. member status Optional Select a member status from the drop-down list. source code Optional Type the first few letters of the source code name to see a list of matches, or click the Look-Up button to go to the List – Source Code page. fee class Optional Select a fee class from the drop-down list. customer type Optional Select a customer typed from the drop-down list. - Click Save to add the Session to the Event and go to the Session Profile page. Click Cancel to return to the previous page without saving your changes.
